Administrative Assistant

The Tchoum Group seeks an experienced, motivated person who provides administrative support to a person or a team in a business or organization. Administrative assistants are responsible for performing a variety of tasks such as answering and directing phone calls, scheduling appointments and meetings, maintaining files and records, coordinating travel arrangements, drafting and editing correspondence, and organizing and managing office supplies and equipment.

Responsibilities:

  • Answering and directing phone calls: Administrative assistants are often the first point of contact for visitors and callers, and are responsible for answering and directing phone calls to the appropriate person or department.
  • Scheduling appointments and meetings: Administrative assistants manage schedules for individuals or teams, including scheduling and rescheduling appointments, meetings, and conferences.
  • Maintaining files and records: Administrative assistants create and maintain organized files and records, which may include electronic or paper documents, correspondence, and reports.
  • Coordinating travel arrangements: Administrative assistants make travel arrangements, including booking flights, hotels, and rental cars, and managing travel itineraries.
  • Drafting and editing correspondence: Administrative assistants write and edit correspondence, such as letters, memos, and emails, on behalf of their supervisor or team.
  • Organizing and managing office supplies and equipment: Administrative assistants ensure that the office is well-stocked with supplies, including paper, pens, and toner, and may also manage office equipment such as printers, copiers, and scanners.
  • Performing general administrative tasks: Administrative assistants perform a range of general administrative tasks, such as faxing, scanning, photocopying, and data entry.

Requirements:

  • Education: A high school diploma or equivalent is typically required, and some employers may prefer candidates with a college degree or certificate in a related field.
  • Experience: Previous experience in an administrative role is often preferred, although some employers may offer entry-level positions for candidates with no prior experience.
  • Communication skills: Strong communication skills are essential for administrative assistants, as they interact with colleagues, customers, and other stakeholders on a regular basis.
  • Computer skills: Proficiency in software applications such as word processing, spreadsheet, and database software is typically required for administrative assistant roles.
  • Organizational skills: Administrative assistants must be highly organized and able to manage multiple tasks and priorities simultaneously.
  • Attention to detail: Administrative assistants must have a keen eye for detail and be able to accurately proofread documents and maintain accurate records.
  • Interpersonal skills: Administrative assistants must be able to work well with others, including colleagues, supervisors, and customers.
  • Flexibility: Administrative assistants must be flexible and adaptable, as they may be required to handle unexpected tasks and changes in priorities.
  • Professionalism: Administrative assistants must maintain a high level of professionalism at all times, as they are often the face of the organization and represent their supervisors and teams.
